This Candidate Privacy Notice explains how we collect, use, store and share personal information about candidates and other professionals we engage with as part of our recruitment and talent acquisition activities.
It applies whether you apply for a role directly, register your interest with us, are referred or introduced to us, or are identified by one of our Talent Partners as someone who may be relevant to an opportunity.
1. Who is responsible for your information?
Synapsis Talent Limited is the data controller responsible for your personal information. This means we determine why and how your personal information is used in connection with our recruitment and talent acquisition activities.

2. What information we may collect
Depending on how you interact with us, we may collect and process information such as:
- your name and contact details;
- your CV and information contained within it;
- employment history and professional experience;
- education, qualifications and professional memberships;
- skills, areas of expertise and professional interests;
- current and previous employers and positions;
- career interests and the types of opportunities you may consider;
- current or expected remuneration, availability and notice period where relevant;
- information you provide during conversations, applications or interviews;
- publicly available professional information, including information available through professional networking platforms such as LinkedIn;
- information provided through professional introductions or referrals;
- notes made by our Talent Partners relating to conversations, applications and potential opportunities; and
- information relating to roles for which you have applied, been considered or expressed an interest.
We seek to collect only information that is reasonably relevant to our recruitment and talent acquisition activities.
3. How we obtain your information
You may provide personal information directly to us when you apply for a role, contact a Talent Partner, submit your CV, register your interest or discuss a potential opportunity with us.
As a specialist, relationship-led talent acquisition business, we may also identify potential candidates through our Talent Partners’ professional networks, introductions and referrals, professional networking platforms, publicly available professional information and other legitimate recruitment or industry sources.
Where appropriate, we may contact you if we reasonably believe an opportunity or professional conversation could be relevant to your experience.
The ICO expressly recognises that recruitment agencies and head-hunters process information about both applicants and people identified through talent searches.
4. Why we use your information
We use personal information to provide our recruitment and talent acquisition services.
This may include assessing your suitability for an opportunity; communicating with you about applications and potential opportunities; understanding your experience, ambitions and career interests; identifying current or future roles that may be relevant to you; matching your experience with the requirements of our clients; managing recruitment and interview processes; introducing suitable candidates to clients; maintaining appropriate records of our interactions with you; improving the quality and effectiveness of our recruitment services; and meeting our legal, regulatory and business obligations.
Our objective is to make relevant and informed connections between talented people and organisations, rather than simply matching CVs with job descriptions.
5. Our lawful basis for using your information
In many circumstances, we process candidate information because it is necessary for the legitimate interests of Synapsis Talent, our clients and, where applicable, candidates themselves.
Those legitimate interests include operating and providing recruitment and talent acquisition services, identifying and assessing potentially suitable candidates, managing recruitment processes and connecting people with appropriate career opportunities.
We consider whether the use of personal information is necessary for those purposes and balance our interests against the rights, interests and reasonable expectations of the individuals concerned.
Depending on the circumstances, we may also process information because it is necessary to take steps at your request in connection with a potential employment opportunity, because we need to comply with a legal obligation, or because you have given consent for a particular use of your information.
Where we rely on consent, you may withdraw that consent at any time.
The ICO describes legitimate interests as a three-part assessment of purpose, necessity and balancing the individual’s rights and interests, and specifically gives recruitment-related examples where legitimate interests may apply.
6. Sensitive personal information
We do not generally need sensitive or special category personal data as part of our initial recruitment activities.
There may be circumstances where you voluntarily provide information relating to matters such as your health, disability or reasonable adjustments.
Where we process special category personal data, we will only do so where we have an appropriate lawful basis and an additional condition for processing under applicable data-protection law.
We will not use sensitive personal information to unlawfully discriminate between candidates.
7. Sharing your information with clients
Where we believe you may be suitable for an opportunity with one of our clients, we will normally discuss that opportunity with you before formally representing you.
We will not submit your CV or formally represent you to a client for a particular role without first discussing the opportunity with you.
Where you wish to proceed with an opportunity, we may share information reasonably required by the client to consider your suitability. This may include your CV, professional background, qualifications and other information relevant to the recruitment process.
Clients receiving your personal information will have their own responsibilities under applicable data-protection law.
8. How we use technology and AI
Synapsis Talent uses technology to support our Talent Partners and help us manage recruitment efficiently.
We use Kevaro, a recruitment technology platform, to manage candidate information, applications, opportunities and recruitment activity.
We may also use AI-assisted technology to support certain parts of our recruitment process. For example, AI may help us:
- extract and organise information contained within a CV;
- identify potentially relevant opportunities based on a candidate’s experience;
- identify potentially suitable candidates for a role; and
- help our Talent Partners review and understand candidate information.
AI assists our Talent Partners. It does not make recruitment decisions on behalf of Synapsis Talent.
A person remains responsible for decisions about whether a candidate should be contacted, introduced, progressed or rejected.
Where AI providers process personal information in connection with these activities, we take appropriate steps to ensure that the information is processed for the intended purposes and subject to appropriate data-protection safeguards.
Transparency and genuine human involvement are particularly important here. ICO guidance highlights lawful basis, transparency, data minimisation, fairness/bias and clearly documented controller/processor responsibilities as important considerations when AI is used in recruitment.
9. Our technology and service providers
We use selected technology and service providers to support the operation, security and delivery of our recruitment services.
These include Kevaro, which we use to manage recruitment and candidate information, together with providers supporting data hosting, website infrastructure, security and AI-assisted functionality.
Our recruitment technology currently uses services provided by organisations including Supabase, Netlify, Cloudflare and Anthropic.
Where service providers process personal information on our behalf, we require appropriate contractual, security and data-protection arrangements.
Some service providers may process personal information outside the United Kingdom. Where personal information is transferred internationally, we take appropriate steps to ensure that the transfer is protected in accordance with applicable data-protection law.
10. How long we keep your information
Recruitment relationships often develop over time, and an opportunity that isn’t right today may become relevant in the future.
We therefore generally retain candidate information for up to two years from your most recent meaningful interaction with Synapsis Talent, where we have a legitimate reason to continue considering you for relevant opportunities.
A meaningful interaction might include applying for or discussing a role, updating your CV or career preferences, responding to one of our Talent Partners, or otherwise engaging with us regarding potential opportunities.
We periodically review the information we hold and delete or anonymise information that is no longer reasonably required.
Certain information may need to be retained for longer where necessary to comply with a legal obligation, establish or defend legal claims, or maintain appropriate business records.
You may also ask us to delete your information sooner, subject to circumstances where we have a lawful reason or obligation to retain certain information.
11. Keeping your information secure
We take appropriate technical and organisational measures designed to protect personal information against unauthorised access, loss, misuse, alteration or disclosure.
Access to candidate information is limited to people and service providers who reasonably require access for legitimate recruitment, technology, compliance or operational purposes.
12. Your data protection rights
Depending on the circumstances and the legal basis on which your information is being processed, you may have the right to:
- request access to personal information we hold about you;
- ask us to correct inaccurate or incomplete information;
- ask us to delete your personal information;
- ask us to restrict certain processing;
- object to processing based on legitimate interests;
- receive certain personal information in a portable format where the legal requirements for that right apply; and
- withdraw consent at any time where we rely on consent.
These rights are not absolute and may apply differently depending on the circumstances and our lawful basis for processing.
